CrystalWell Travels Limited (“CrystalWell Travels”, “we”, “us”, “our”) is a UK company developing a new, wellbeing-informed approach to restorative travel. This policy explains what information we collect when you join our waitlist or take part in our research survey, why we collect it, how we look after it, and the choices and rights you have.

We are a very early-stage startup. We do not sell your information, we do not run advertising, and, at the time of writing, this site does not use tracking or analytics cookies. If that changes as the platform develops, we will update this policy first.

For the purposes of UK data protection law, CrystalWell Travels Limited is the data controller for the information described in this policy.

What information we collect

We only collect information you choose to give us, through two places on this site:

1. The Founding Membership waitlist. When you join the waitlist, we ask for your name, email address, country, a short answer to what’s prompting your interest, your confirmation that you understand how the waitlist works, and a separate statement that you are genuinely interested in CrystalWell Travels and would consider paying for it when it becomes available. We also record your position in the queue and which Founding Member tier that position falls into.

2. Our research survey (“Share Your Thoughts”). If you choose to take part, we collect the responses you submit. These are used for research and service development only, the survey is not a clinical assessment or diagnostic tool, and we do not ask for health information as part of it.

We do not knowingly collect information from anyone under 18. If you believe a child has given us information, please contact us and we will delete it.

Why we collect it, and our legal basis

  • To manage the waitlist, keeping track of who has signed up, their queue position and Founding Member tier, and to contact you about your signup. Legal basis: performance of a pre-contractual arrangement with you (you are asking to join a paid membership when it launches) and our legitimate interest in running an orderly waitlist.
  • To understand demand for what we are building, including, where relevant, as evidence of genuine interest for our own business planning. Legal basis: legitimate interest. Where we use waitlist information this way, we use aggregate figures (for example, “over 200 people joined the waitlist”) wherever possible rather than naming individuals.
  • To carry out our research survey, understanding the problem we’re trying to solve. Legal basis: consent, given when you choose to complete the survey.
  • The intent-to-pay confirmation on the waitlist form is a clear, separate statement of consent that you are giving us specifically so that your interest counts as informed and genuine, rather than a passive email capture.

How we store your information

Waitlist and research survey information is stored using Google’s infrastructure, which acts as our data processor. We do not maintain our own separate database of your information outside of this infrastructure at this stage.

We take reasonable steps to keep access to this information restricted to the people at CrystalWell Travels who need it to run the waitlist and our research.

Who we share it with

We do not sell, rent or trade your personal information. We may share it with:

  • Service providers who process it on our behalf (currently Google, as described above);
  • Our professional advisers (for example, accountants or solicitors), where reasonably necessary and generally in aggregate or anonymised form;
  • Regulators or government bodies, only where necessary and, wherever possible, using aggregate figures rather than information that identifies you individually;
  • Anyone else, only where we are required to by law, or with your explicit permission.

How long we keep it

We keep waitlist and survey information for as long as you remain on the waitlist or CrystalWell Travels remains in active development, and for a reasonable period afterwards for our own record-keeping. If you ask us to delete your information, or to remove you from the waitlist, we will do so unless we are required to keep it for a legal reason.

Your rights

Under UK data protection law, you have the right to:

  • Ask us what information we hold about you, and get a copy of it;
  • Ask us to correct information that is inaccurate or incomplete;
  • Ask us to delete your information, or to remove you from the waitlist;
  • Ask us to restrict or object to how we use your information;
  • Withdraw your consent at any time, where we rely on consent (for example, the research survey, or the intent-to-pay confirmation);
  • Complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk if you believe we have not handled your information properly.

To exercise any of these rights, or if you simply want to unsubscribe from the waitlist, email us at info@crystalwelltravels.org and we will action your request as soon as we reasonably can.

Changes to this policy

As CrystalWell Travels grows, for example, once the platform itself launches and starts processing bookings or payments, this policy will need to expand to cover that. We will update this page when that happens and change the “last updated” date above.
